Client, one of the top 5 largest senior living care facilities operator in North America, operates senior care living communities in the US and Canada, providing independent living, assisted living, and memory care. Client prioritizes personalized care, social engagement and wellness for residents helping create vibrant communities. Client offers amenities, dining options, and tailored services to meet individual needs.

Adoption of Technology

To manage the various facets of its operations across communities, they created a boutique of technology solutions in-house. These solutions not only dramatically improve productivity and quality of care, but they also attracted the attention of other senior care living facilities operators, big and small, who were interested in using it for their own operations.

Though Client was keen to share these solutions with interested Senior Care Living Facilities operators, these legacy solutions developed using older technologies had to be installed on-prem and supported with a large staff. This not only meant a higher cost of ownership, launching the solution was a lengthy labor-intensive process and scaling the solution for growth was not easy.

Modernizing Solutions

Forar Tech was selected to assist with modernizing the solutions stack, making it more user/senior friendly, create integration points for different solutions to seamlessly work together while capturing data only once at its source and creating new native mobile platform solutions, among other things.

Forar Tech Approach

To modernize all the various applications, and bring it under one umbrella, Forar Tech assisted in architecting and adopting SaaS (Software as a Service) methodology, using Microsoft Azure and .Net core. The applications are Silo database-based to store data of each tenant in separate databases.

Customer Relationship Management

This application assists in managing and closing leads effectively. The CRM system comprises of various modules, including Inquiry, Inquirer Info, Stages of Different Leads, Historical Notes, and Conversion by the sales team. The system stores geographical and demographic information for each prospect, allowing Client to identify which community the prospect is interested in and whether they are engaged with any other competitors. Additionally, it also captures information about referrals. When a prospect becomes a customer and is ready to move into a community, the system enables Client to make a reservation with a deposit amount.

Product Pricing Management

The Product Pricing Management system involves determining the types of accommodations, care levels, amenities, and additional services provided to residents, as well as establishing the pricing structure for these offerings. The main goal of the system is to maintain financial sustainability, attract new residents, and provide high-quality services. PPM also manages communities, buildings, levels, rooms, and other assets.

Quality Management System

Quality Management System was developed for the communities to manage standards and maintain compliance. It includes a predefined checklist survey that is used by a Quality Enhancement Director during frequent surprise visits. The director will ensure that all quality standards are being followed using surveys and recording observations as responses.

If any gaps in the quality standards are found, an action plan is created for the Community Director to address and mark as completed once it is resolved.

The entire system is dynamic and includes a dashboard view that shows completed and ongoing reviews, identifies the owner of the action plan, and includes various other aspects.

Care Management System

Care Management System is to support elderly individuals residing in assisted living communities, nursing homes, or other senior living facilities. The primary goal of CMS is to enhance the quality of life for seniors by addressing their unique needs and ensuring they receive appropriate care and support. The system allows Care Managers to automate their daily tasks and follow-up. Nurses can monitor vitals and record care accorded thru this app.

Event Management System

Event Management System is a platform designed to help plan, organize, and manage events and activities within a senior living community. It is a tool that helps senior living facility staff create and coordinate various social, recreational, and educational events for the residents, enhancing their overall quality of life and promoting a sense of community and engagement. It includes activities like event scheduling, calendar view, event promotions, event feedback and many more. EMS integrates with CRM system to get all pertinent information of the residents.

Payment Management

Payment Management system is used to handle financial transactions and billing related to the services provided to residents in communities or facilities. It includes core services such as billing and invoicing, payment processing, advance deposits, recurring payments, reminders, and refund processing. Additionally, it is integrated with the Resident Management System. This system also helps senior living businesses improve their administrative efficiency by automating tasks and providing real-time financial information.

Resident Management

Resident Management system helps oversee and maintain the information, care, and services provided to residents in senior living communities or facilities. It involves the administration of various aspects of a resident's stay, ensuring their well-being, safety, and overall satisfaction during their time in the senior living facility. Its core functions include admission and onboarding, care planning, medical records and documentation, assessments and evaluations, and other resident-driven functionalities.

Culinary Management

The Culinary Management system helps streamline and enhance the foodservice operations within senior living communities or facilities. The system focuses on managing all aspects of the culinary department, including menu planning, food preparation, dietary considerations, inventory management, and resident dining experience.

Survey Management

Survey Management system facilitates the creation, distribution, collection, and analysis of surveys conducted within the senior living community. This system streamlines the process of gathering feedback from residents, their families, staff members, and other stakeholders to assess various aspects of the community's operations, services, and overall satisfaction. Communities can design surveys for Quality Enhancement, Dining Experience, Food Quality, Resident Satisfaction Levels, Move-in and Move-out Surveys, Facilities Maintenance Surveys, and many more.
